Refunds, withdrawals & weather

The rules for getting your entry back, pulling out before an event, and what happens when the weather turns.

Refunds

A full refund is available until registration closes (registration closes at the end of the last registration day, venue local time). Once registration closes, entries are non-refundable. Registration closing is the line because after that point your director has locked the field, built the divisions, and set the pot — a late withdrawal can't be unwound without disrupting everyone else's event.

If you paid by card, the refund goes back to that card through Stripe, and it can take a few business days to appear. If you paid your director directly, the director refunds you the same way. A refund before the cutoff returns your entry in full, including any card-processing fee added at checkout. To ask for a refund before the cutoff, contact your director, or email [email protected].

If you are promoted from a waitlist, you pay at that point, and the same cutoff applies — a team promoted after registration closes has made a final payment.

If an event is canceled

If an event is canceled outright and not rescheduled, everyone gets a full refund regardless of the cutoff.

Withdrawals

Need to pull out? Contact your director. Withdrawing frees your slot, and if there's a waitlist the next team in line is promoted automatically while registration is open; after it closes, the director moves teams up.

Withdraw before registration closes and you get a full refund. Withdraw after and your slot is still freed for the waitlist, but the entry is non-refundable.

A team that never checks in on event day is handled differently — see Format & rules for how no-shows and forfeits are scored.

Weather & rain dates

Rain delays, postponements, and reschedules are the director's call. If an event moves to a rain date or a rescheduled date, your entry carries forward automatically — you do not re-register and you do not pay again.

If a rescheduled event can't happen either, the cancellation terms above apply.
